Kilimanjaro Expeditions Responsibility and Events Beyond Our Control
Force Majeure & Delayed or Cancelled Trips: Kilimanjaro Expeditions may, at any time, cancel or withdraw a tour or trek due to circumstances beyond our reasonable control such as weather or other acts of God, strikes, war, hostile governments, riots, fire, pandemics, etc. In these cases, we will, with no penalty to ourselves, undertake to notify you of the circumstances for our withdrawal of the tour or trek. In the event we choose to cancel a tour or trek for one of these uncontrollable and safety oriented reasons, neither Kilimanjaro Expeditions nor our staff, vendors or service providers will be liable or responsible for refunds, reimbursements, increased or altered trip fees or damages to participants or clients.
Kilimanjaro Expeditions, its employees, officers, directors, successors, agents and assigns (collectively Kilimanjaro Expeditions), does not own or operate any entity which is to or does provide goods or services for your trip, including, for example, lodging facilities, transportation companies, local ground or safari operators, including, without limitation, various entities which may be affiliated with Kilimanjaro Expeditions and/or which may utilize the Kilimanjaro Expeditions name, guides, food and drink service providers, equipment suppliers, etc. As a result, Kilimanjaro Expeditions is not responsible for any negligent or willful act or failure to act of any person or entity it does not own or control, nor for any act or inaction of any other third party not under its control.
In addition and without limitation, Kilimanjaro Expeditions is not responsible for any injury, loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from but not limited to acts of God or force majeure, disease, illness, acts of war, civil unrest, insurrection or revolt, animals, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, overbooking or downgrading of accommodations, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time.
Risks
There are certain inherent risks in adventure travel of the type involved here. These include, but are not limited to, risks of climbing mountains (for example, rock slides, falling, falling stones, altitude sickness, etc), and in all trips dangers of animals, inaccessibility to medical attention and difficulty in evacuation from remote locations in the case of a medical emergency. Kilimanjaro Expeditions is not responsible for any of the risks involved – the traveler/trekker assumes all such risks with regard to these possibilities. Additionally, persons not fit for long trips due to heart disease, chronic illness, physical handicap, advanced pregnancy or mental illness should not participate in these rigorous travel programs.
Cancellations
At the time we receive written notice of cancellation of your trip, the following fees will apply for each person:
For tours canceled more than 60 days prior to departure, a $500 per person cancellation fee will apply. 60-30 days incurs a 50% tour price cancellation fee; 29-15 days incurs a 75% tour price cancellation fee; 14 days or less incurs a 100% of tour price cancellation fee. Cancellation terms may differ on customized itineraries.
Once Kilimanjaro Expeditions has confirmed your trip, cancellation fees will apply if you cancel your trip for ANY reason – even for medical issues. We strongly recommend that you buy trip cancellation insurance.
Rain-Checks
We can only offer a rain check for the part of your trip that is operated by Kilimanjaro Expeditions. As we do not have control over service providers, we cannot offer rain checks for their services. They may levy their own cancellation fees. Rain checks are available only for the Kilimanjaro climb. Once you have signed up for one of the above trips, if you have to postpone, please contact our office immediately. We cannot guarantee it, but we'll do our best to reschedule your trip.
Rain-Check Terms & Conditions: At the time that we receive written request that you wish to postpone your Kilimanjaro Expeditions trip, the following fees will apply to each person:

More than 90 days before departure – NO CHARGE

45-90 days before departure - $200 USD

11-44 days before departure - $250 USD

0-10 days before departure – May not be possible, so call us immediately!
If we are able to give you a rain-check we will hold the deposits that you have paid, and apply them to your postponed Kilimanjaro Expeditions trip. The price of your Kilimanjaro Expeditions trip will remain valid for travel up to 1 year from the date that we received your original deposit. If you decide to cancel your trip completely, we will use your first notification to us as the cancellation date, and base your cancellation fees on your original trip date.
If you choose to cancel your trip after you have requested a rain check, rain check fees will be applied to your cancellation fees.
Flight Delays
Postponement and rain check policies will apply to air travel delays. We are not responsible for delays by your air carrier.
Guaranteed Kilimanjaro Departures
All of our Kilimanjaro departures are guaranteed – even if there is only 1 climber. This means that we will NEVER cancel a Kilimanjaro climb due to low sign up. Extension and/or other expedition departures are not guaranteed, as they are operated by other service providers.
Custom Kilimanjaro Departures
All of our climbs are fully customized. Climbing in a group of one: If you would like a private individual climb (including porters and guides), there is an additional charge of $950 USD.
Park Fees & Flights
Most Kilimanjaro Expeditions trips involve entrance to managed areas, such as national parks. Trip members are responsible for any cost increase for national parks.
Single Supplement
If you are on your own and join a Kilimanjaro climb, we'll match you up with a roommate of the same gender. Should you wish to have your own room at our hotel in Moshi and/or tent while on the Kilimanjaro climb, extra fees may apply. If you are forced to sleep in a single room or tent due to an odd number of climbers, we will not charge you the single supplement.
Trip Extensions
You may schedule a private trip extension or join an existing group. All extension prices are based on double occupancy. This means you will be sharing vehicles and guides, as well as accommodation. If you choose, or are forced to use single accommodations due to an odd-numbered group, you will be charged a single supplement.
Late Itinerary Changes
If you change your itinerary after final payment you will be charged $125 per new itinerary. We must receive your written approval by the next business day at 12 noon, Eastern Time US. You will be responsible for any additional charges that may be levied by other service providers.
Specific Accomodations
Accommodations and arranged sightseeing are subject to change at any time due to unforeseen circumstances or circumstances beyond Kilimanjaro Expeditions’ control. Every effort will be made to operate tours as planned, but alterations may occur after the final itinerary has been issued.
Kilimanjaro Expeditions Discretion
Kilimanjaro Expeditions requires trip members to be prepared physically, psychologically and to have the correct equipment for all our trips. After signup, KILIMANJARO EXPEDITIONS reserves the right to dismiss a trip member at any time for any reasons that KILIMANJARO EXPEDITIONS may later learn about the trip member. Trip members must provide us with true and accurate information.
If we must cancel or change a trip, we will do our best to provide you with a full or partial refund for the Kilimanjaro Expeditions-operated land portion of your trip. This refund shall release Kilimanjaro Expeditions from any further liability. Kilimanjaro Expeditions is not responsible for expenses incurred by trip members in preparing for the trip, e.g. non-refundable fees for air tickets; equipment; visa fees, etc. Cancellation fees may be levied by other operators running other portions of your trip.
Due to the nature of this wilderness trip, certain events may occur which could incur additional costs not planned for at this time, including but not limited to currency fluctuation, change in costs or means of conveyance, the cost of evacuation, medical treatment, body recovery and/or repatriation and other related matters. Those additional costs are not the responsibility of Kilimanjaro Expeditions - the trip member is responsible for the payment of those costs. Any search and rescue undertaken on the trip member’s behalf will be the financial responsibility of the trip member involved, including costs incurred by Kilimanjaro Expeditions, other expeditions, governments or other entities.
Guest Representation and Consent
The person making a booking with Kilimanjaro Expeditions warrants that he or she has authority to enter into a contract on behalf of all other persons included in such a booking. The payment of the deposit or any other partial payment for a reservation on a tour constitutes a consent by all guests covered by that payment to all provisions of the Terms and Conditions contained herein whether the guest has signed the contract or not.
Special Requests
Specific requests such as connecting or adjacent rooms, smoking or non-smoking rooms and special dietary needs should be advised at time of booking. Please be advised that every effort will be made to secure your special request; however, they cannot be guaranteed.
Photography
Kilimanjaro Expeditions may take photographs or film of its trips and trip participants, and participant grants Kilimanjaro Expeditions express permission to do so and for Kilimanjaro Expeditions to use such for promotional or commercial use.
Arbitration Agreement
Any controversy or claim arising out of or relating to these Terms and Conditions, to the limits on Kilimanjaro Expeditions’ responsibility clause, to the brochure, to the flier, to any information relating in any way to the trip, to the trip itself, or to any products or services related to the trip, shall be settled solely and exclusively by binding arbitration in New York, NY, in accordance with the Commercial Arbitration Rules of the American Arbitration Association, except that (a) in lieu of a personal appearance at arbitration, the arbitration may be conducted by telephonic means, (b) arbitration is the exclusive forum for dispute resolution (no court actions), and (c) except as otherwise provided by statute, each party shall bear its own costs and expenses and an equal share of the arbitrator and administrative fees.
